PTA Job Descriptions


NOTE: The Executive Board meets monthly August through May of the school year.  10 meetings total. 

 

President

Coordinates all work of the association, leads all meetings, liaison with principal, represents Local PTA as Council delegate, meets regularly with officers and chairs, member of Executive Board, check signer. Serves in all areas as needed.

  • Time Commitment: Attends all meetings and events, several hours per week.
  • Skills: Strong written and verbal communication skills, leadership, organization, time management.
  • Job Done From: Home and school.
  • Responsible For: All officers and committees.

 

VP Communications

Coordinates all public communications of the association, acts as aide-to-the-president, meets regularly with committee chairs, member of Executive Board.

Example: Prepares PTA submissions to Harrington's Thursday Electronic Newsletter, Posts on all Social Media Platforms.  Simple graphic design work involved. 

  • Time Commitment: Attends all meetings and events, several hours per month.
  • Skills: Strong written and verbal communication skills, detail-oriented, organization, time management, basic Marketing.
  • Job Done From: Home and school.
  • The following sub-committees report to this position: Webmaster, Yearbook.

 

VP Ways and Means

Coordinates all fundraising events, meets regularly with committee chairs, member of Executive Board.

  • Time Commitment: Attends all meetings and events, several hours per month working with team members, heavier hours leading up to events.
  • Skills Needed: Strong written and verbal communication skills, organization, event planning, Accounting.
  • Job Done From: Home and school.
  • The following sub-committees report to this position: Book Fair, Community Partners, Fall Fundraiser, Family Night Out, School Supplies, Special Events, Spirit Wear, Spring Fundraiser.

 

VP Programs

Coordinates all programs of the association and community focus programs, meets regularly with committee chairs, member of Executive Board.

  • Time Commitment: Attends all meetings and events, several hours per month working with team members, heavier hours leading up to events.
  • Skills Needed: Strong written and verbal communication skills, organization, event planning, detail oriented.
  • Job Done From: Home and school.
  • The following sub-committees report to this position: After Class Education, Arts in Education, Beautification, Cultural Diversity, Environmental, Field Day, Parent Education, Safety & Youth Protection, Spring Family Picnic.

 

VP Volunteers

Coordinates posts for all volunteer opportunities for all PTA-sponsored programs and events using https://plano.voly.org/, coordinates volunteer recognition, meets regularly with committee chairs, member of Executive Board.

  • Time Commitment: Attends all meetings, several hours per month working with team members.
  • Skills Needed: Strong written and verbal communication skills, organization, Sales and Marketing.
  • Job Done From: Home and school.
  • The following sub-committees report to this position: Hospitality, Husky Pups, WatchDOGS.

 

VP Membership

Supervises the building of an informed and participating membership, maintains membership list, encourages participation in state membership awards competition, chairs annual Life Member Awards Committee, member of Executive Board.

  • Time Commitment: Attends all meetings and events, several hours per month, heavier hours in fall.
  • Skills Needed: Strong written and verbal communication skills, organization, basic Marketing.
  • Job Done From: Home and school.

 

Secretary

Records the minutes of all meetings of the association and Executive Board, records attendance at all meetings, responsible for correspondence, maintains copies of all reports, notices, statements and newsletters, member of Executive Board.

  • Time Commitment: Attends all meetings and events.
  • Skills Needed: Strong written communication skills, organization, detail-oriented, skilled at note taking.
  • Job Done From: Home and School.

 

Treasurer

Responsible for all funds of the association, managing books and records, budgets, deposits, invoices and receipts for audit, prepares tax returns, member of Executive Board.

  • Time Commitment: Attends all meetings and events, couple hours per week, heavier hours reconciling fundraising events.
  • Skills: Strong written communication skills, organization, detail-oriented, time management, Accounting.
  • Job Done From: Home and school.

 

Parliamentarian

Advises on questions of parliamentary procedure, responsible for maintaining the association's Bylaws and Standing Rules, chairs Bylaws Review Committee and updates annually as needed, Member of Executive board, appointed by President, does not vote.

  • Time Commitment: Attends all meetings, couple hours per month.
  • Skills Needed: Strong verbal communication skills, detail-oriented, thorough knowledge of Bylaws and Robert’s Rules of Order.
  • Job Done From: Home and school.

 

Hospitality Chair

Coordinates luncheons or other events for faculty and staff throughout the year, coordinates activities during Teacher Appreciation Week, appoints and coordinates hospitality committee, supplies refreshments for general meetings or events as needed, works within a budget, member of Executive Board.

  • Time Commitment: Several hours per month.
  • Skills Needed: Organization, time management, detail-oriented, meal planning.
  • Job Done From: Home and school.

  


Program Chairs/Coordinators

After Class Education (A.C.E.)

Schedules and coordinates after school enrichment programs throughout the year, publicizes and promotes student participation in after school enrichment programs. Reports to VP Programs.

 

Arts in Education

Promotes the arts on campus, coordinates National PTA’s Reflections arts program in the fall through event communication, procuring judges, recognizing winners and advancing entries. Reports to VP Programs.

 

Beautification

Coordinates campus beautification initiatives and maintenance, works closely with school principal to comply with Plano ISD guidelines and regulations for school grounds, works within budget. Reports to VP Programs.

 

Book Fair

Plans and organizes annual/semiannual book fair. Works with vendor and librarian to coordinate set up, operation, tear down. Reports to VP Ways and Means.

 

Community Partners

Promotes and coordinates shopping/share programs. Reports to VP Ways and Means.

 

Council Delegate

Attends all (7) Delegate Meetings of the Plano ISD Council of PTAs, participates as a voting member of that body, and represents interests of Harrington PTA at Council level. Files reports to President and Board of news and events from Council, and coordinates relevant announcements for scheduled communications. Appointed by President.

 

BDEI (Belonging, Diversity, Equity, Inclusion)

Researches cultural diversity needs in our school, offers communication regarding cultural events in the surrounding area. Reports to VP Programs.

 

Environmental

Promotes and coordinates environmental awareness programs through the community and our school. Reports to VP Programs.

 

Fall Family Fun Fest

Plans and organizes fall festival for the Harrington community. Event may include DJ service, silent auction, raffle, games, activities, face painting, etc. Reports to VP Ways and Means.

 

Family Night Out

Coordinates and promotes partnerships with area restaurants and businesses to host periodic “Spirit Nights”. Reports to VP Ways and Means.

 

Field Day

Works with PE staff to plan and coordinate annual Field Day activities, leads team of volunteers. Annual event usually held in May. Reports to VP Programs.

 

Husky Pups

Coordinates summer play dates for incoming Kindergarten students. Reports to VP Volunteers.

 

 

Fall Product Based Fundraiser

Coordinates with vendor or provider on order forms, promotion and delivery of products. Reports to VP Ways and Means.

 

Safety and Youth Protection

Promotes programs for securing the protection and safety of the children at school and at home, promotes bicycle safety and works with PE staff to coordinate annual Bike Rodeo event in the spring, works with school staff to coordinate annual Red Ribbon Week events. Reports to VP Programs.

 

School Supplies

Coordinates ordering, inventory, sales and distribution of pre-packaged school supplies. Reports to VP Ways and Means.

 

Special Events Chair

Appoints and coordinates special and family events committees as necessary. Reports to VP Ways and Means.

 

Spirit Wear

Coordinates the design, ordering, inventory, sales and distribution of school spirit wear such as t-shirts. Reports to VP Ways and Means.

 

Spring Family Picnic

Plans and organizes family picnic event in spring, usually held in conjunction with restaurant spirit night. Reports to VP Programs.

 

Spring Fundraiser

Coordinates spring Great American fundraiser (sales of magazines, frozen cookie dough, gifts, etc.). Reports to VP Ways and Means.

 

Webmaster

Maintains Harrington PTA website with items of interest. Reports to VP Communications.

 

Yearbook Editor

Coordinates annual school yearbook. Responsible for design, compilation and printing, secures bids from vendors, coordinates sales and distribution. Coordinates the photography volunteers per grade. Reports to VP Communications.

 


More Ways to be Involved & Volunteer

Volunteers are needed throughout the year to help with one time special projects, events, programs, in the classroom, workroom and other needs.

 

Please note: A PISD background clearance is required for all volunteers.

Audit Committee

Three volunteers needed to audit PTA Books, Accounting background not required. Check for double signatures, contracts, proper records, etc. Once per year in June/early July, 3-4 hour time commitment.

 

Book Fair Volunteer

Work one or more shifts during the week of book fair selling books, assisting younger grade levels with selections; assist with event set up and tear down. Events in fall and spring.

 

Classroom Volunteer

Attend classroom parties to assist with games, activities and snacks, may donate requested party supply items, chaperone field trips (if requested), classroom reading (grade level applicable), etc.

 

Fall Family Fun Fest Volunteer 

Assist as needed with fall festival. Duties may include event prep, ticket sales, set up, and tear down.

 

Field Day Volunteer

Work half or full day shift for Field Day event in May, assist with activity stations, set up and tear down

 

Hospitality Team Member

Work shift for teacher/staff hospitality event set-up, serving and clean up, as needed, donate requested items for hospitality events throughout the year.

 

Library Volunteer

Assist librarian as needed, check in/out books during classroom visits, assist with shelving books.

 

Photography Volunteer

1-2 volunteers per grade to take photos for the yearbook and other publications. Camera with high quality images is necessary. Rotate attending events both in school and after school when necessary. Report to Yearbook Coordinator/Designer to upload images to the Google Drive.

 

Room Parent

Work with grade level coordinator to plan and implement winter and friendship parties, schedule classroom readers (if applicable), may organize special appreciation treats, etc.

PISD Volunteer Application

 

 

Go to Voly to complete your volunteer application. Visit the volunteer website for more information about the approval process.

 

Each year (beginning July 1st), individuals must submit an application in order to volunteer at PISD. Applications take several days to process and all requirements must be approved prior to volunteering.
